Trail is a knowledge service: you add sources, and Trail compiles them into a knowledge base you can search and chat with. This page explains which personal data we process to do that, why, where it lives, and how to have it removed.

The website trailmem.com and the documentation at docs.trailmem.com can be read without an account. We show no advertising there, and we do not track you.

What we process

Your account. Your name and email address, which organisation and knowledge bases you belong to, and your role there. If you sign in with Google, we receive your name and email address from Google — nothing else.

What you put into Trail. The sources you upload or connect (documents, web pages, images, notes), the knowledge Trail compiles from them, and your chat conversations with your knowledge base. This is your content. We process it only to provide the service to you.

The Web Clipper. If you install the browser extension, it sends the page you choose to clip — and only that page — to your knowledge base. See the section on the Web Clipper below.

Quality logs. Every search and every answer that is based on a knowledge base: the question, the parts of the knowledge base that were used, and the final answer. See the section on quality control below.

Technical data. Ordinary server logs (IP address, time, which address was requested) and error reports, for operations and security.

We do not build profiles, we do not sell data, and we do not track you across websites.

Why we process it

Performance of a contract (GDPR art. 6.1.b) — running your account and your knowledge bases.

Legitimate interest (art. 6.1.f) — keeping the service secure and working, measuring and improving the quality of its answers, and answering you when you write to us.

Legal obligation (art. 6.1.c) — bookkeeping under Danish law, where an invoice is involved.

AI models

To compile your sources and answer your questions, the text is sent to a language model. By default this is Mistral AI in France (EU). If the EU model is unavailable, the request fails; it is not sent to a model outside the EU instead.

Some knowledge bases are compiled by our own staff using Anthropic's Claude (USA). Where that applies, it is agreed with the owner of the knowledge base.

We do not use your content to train AI models unless you have agreed to it in writing.

Quality control

To measure and improve the quality of its answers, Trail logs every search and every answer that is based on a knowledge base: the question, the parts of the knowledge base that were used, and the final answer. This applies to every system that uses Trail, and it is a condition for using the service. Systems that call Trail directly must report their final answer back to Trail.

The text is kept for 30 days and then deleted automatically. Quality figures without any text — for example the share of answers that stayed within their sources — are kept without a time limit.

Before the text is stored, Danish personal identity numbers (CPR) and secrets such as passwords and access keys are always removed. Personal names are removed where the customer has enabled it.

The text is stored encrypted and is read only by the automatic quality analysis. Trail's developers have no direct access to read it. The one exception is Aidan, the chat guide on this website — see «Conversations with Aidan on trailmem.com» below.

The automatic quality analysis uses our EU language model, Mistral AI in France, to split each answer into claims and check them against the sources. The model sees the text while it checks it and stores nothing itself.

The logs are stored in the EU (Stockholm, Sweden).

Conversations with Aidan on trailmem.com

Aidan, the chat guide on this website, is built on Trail and follows the same quality control as every other system that uses Trail. When you chat with Aidan:

your chat history is kept in your own browser, so you can come back to it;

the questions you ask and Aidan's answers are sent to Trail's quality log. We use them to see how Aidan is used and where Trail answers well or badly, and to improve Trail for all our customers. The text is stored encrypted in the EU (Stockholm, Sweden) and deleted automatically after 30 days, as described under Quality control above;

you can chat without giving us your name or email address, and the quality log holds no name, email address or IP address. Please do not write personal details in the chat itself.

Unlike the content of our customers' knowledge bases, the questions and answers from Aidan on this website may be read by a small number of named people at WEB HOUSE in our internal Research Lab. We use them to find where Trail answers badly and to build test sets that make Trail better for every customer. Every read is logged, and the 30-day deletion applies here too.

Aidan's answers are written by Mistral AI in France (EU). If you ask Aidan to email you an answer, your email address is used only to send it, and only with your consent.

When you ask for a person. If Aidan cannot help and you want a person to take over, we open a support case. For that we need your name and your email address, so that we can answer you; a phone number is optional. The case, together with the conversation, goes to our support system (HelpDesk, run by WEB HOUSE on Fly.io in Stockholm, Sweden), and our answer comes by email from support.trailmem.com. Write to legal@broberg.ai if you want a case deleted.

Legal basis: legitimate interest (GDPR art. 6.1.f) — measuring and improving the quality of the service; for a support case, answering the request you made (GDPR art. 6.1.b).

The Web Clipper browser extension

The extension is idle until you click its toolbar button. When you click it:

it reads the content of the page you are currently on — the article text, its title, and its URL;

it converts that page to text and sends it to the Trail server you chose in the extension's settings, together with any tags you typed.

It does not read pages in the background, it does not run on pages you have not clipped, and it does not watch your browsing.

Where your clip goes is your choice. By default the extension sends to app.trailmem.com. You can point it at your own Trail server instead, including one running on your own machine — in which case the clipped page never reaches us at all.

What the extension stores on your device: the server address you configured and your API token for that server. Both are kept in your browser's local extension storage. The token is never sent anywhere except to the Trail server you configured, as the credential for your own upload. Uninstalling the extension clears it.

Permissions the extension asks for, and why:

activeTab — lets the extension read the page you are on, only at the moment you click the button.

scripting — used to run the page-extraction code on that page when you click.

storage — to remember your server address and token on your device.

Access to app.trailmem.com and 127.0.0.1 — the two Trail servers the extension can upload to. If you configure a different server, your browser asks your permission for that address at that point.

When you use Trail for your own users

If you put Trail in front of your own users — for example through the embeddable chat widget on your website — you are the data controller for their data and we are the data processor. That relationship is put in writing in a data processing agreement.

How long we keep it

Your account and content: for as long as your account exists. When you close it, we delete your knowledge bases and uploaded files. Copies in our backups are overwritten on a rolling basis.

Quality logs: the text for 30 days, then deleted automatically. Quality figures without text are kept without a time limit.

Bookkeeping records: 5 years, as Danish law requires.

Server logs and error reports: briefly, for operations and security only.

Where your data lives, and who processes it

We never sell data. We use these providers:

Fly.io (Stockholm, Sweden, EU) — the Trail application, the processing engine and the databases holding your knowledge bases.

Tigris (Frankfurt, Germany, EU) — uploaded files and database backups.

Cloudflare R2 (EU jurisdiction) — an additional backup copy.

Mistral AI (France, EU) — the language model that compiles sources, answers chat, describes images and builds search vectors.

Anthropic (USA) — only for knowledge bases compiled by our staff, as described above.

Resend (USA) — sending sign-in emails and support replies from support.trailmem.com.

Google (USA) — only if you choose "Sign in with Google".

GitHub (USA) — hosting of the trailmem.com website. No account data or content is stored there.

Transfers outside the EU/EEA

Your knowledge bases, files and the default AI model stay inside the EU. Anthropic, Resend, Google and GitHub are US-based. Those transfers rely on the European Commission's Standard Contractual Clauses and the providers' certification under the EU-US Data Privacy Framework.

Security

All traffic is encrypted (HTTPS). Every organisation's knowledge bases are kept in a separate database, and one organisation can never see another's data. Access keys are stored encrypted and separately from the code.

Your rights

You have the right of access, rectification, erasure, restriction, objection and data portability — on request we provide a copy of your knowledge bases. Write to legal@broberg.ai and we will help you.

If you disagree with how we handle your data, you may complain to the Danish Data Protection Agency (Datatilsynet).

Cookies

trailmem.com and docs.trailmem.com set no cookies for tracking, analytics or advertising. The cookie banner stores only your own choice.

Aidan, the chat guide, remembers two things in your own browser and nowhere else: your conversations (in the browser's local storage, so you can come back to them — delete a conversation in the chat, or clear your browser data, to remove it), and whether you chose Aidan or Airina (a preference cookie, aidan_persona, kept for one year). Neither is used for tracking, and we never read them — only the messages you actually send in the chat reach us.

If you sign in to Trail, one technical cookie is set, solely to keep you signed in. It is required for the service to work, it is used for nothing else, and it is removed when you sign out.

Changes

If this policy changes, the date at the top is updated. If you have an account, we notify you of material changes before they take effect.
